Project controls

Give every open question and submittal one owner, one due date, and one defensible record.

Connect design questions and approval packages to the drawings, reviewers, schedule activities, and cost decisions they affect, without managing the critical path from an inbox.

The operating symptoms

What this problem looks like before automation.

01

The question is separated from its context

The drawing revision, location, spec section, photo, and requested-by date do not travel with the email thread.

02

Due dates do not create accountability

A log shows an item as overdue but does not notify the accountable reviewer or escalate the affected project decision.

03

Answers fail to trigger downstream work

A response changes scope, cost, procurement, or schedule, but the relevant owner is not automatically asked to assess the impact.

The SBA automation map

Build the system in four layers.

The implementation starts with reliable inputs and business rules, then automates routine actions while routing exceptions for review.

01
Inputs

Create a complete control record

Capture project, type, discipline, drawing/spec reference, question or package, reviewer, required date, and potential impact.

02
Rules

Route by responsibility and risk

Set reviewer paths, response targets, distribution lists, escalation windows, and impact-review triggers.

03
Actions

Keep the log moving

Notify reviewers, issue reminders, publish status views, distribute final responses, and launch cost/schedule follow-up tasks.

04
Exceptions

Expose critical-path decisions

Flag overdue responses, superseded drawing references, rejected submittals, missing reviewers, and answers with potential change impact.

Human approvalThe decision remains accountable.

Design responses, submittal acceptance, contract interpretation, and cost/schedule decisions remain with the authorized parties. Automation controls the record, routing, and evidence.

Common questions

Answers before you automate.

What should construction RFI tracking software include?

A useful RFI record includes the question, drawing or specification reference, responsible reviewer, dates, status, response, distribution, and any resulting cost or schedule review. The log should expose ownership, not just store documents.

Can RFI reminders and escalation be automated?

Yes. Reminders can follow the required-response date and escalation policy. Criticality, contractual notice, and the appropriate escalation audience must be defined before automation.

Can RFI answers trigger change-order review?

Yes. A response can create an impact-review task for the project and commercial team. That task should assess scope, cost, schedule, and notice requirements before anyone treats the answer as a priced change.
