Handyman estimate template

A handyman estimate turns a customer's to-do list into priced tasks: hours times your labor rate, plus materials and markup, with a minimum or trip charge so short visits still pay. Download this template as a CSV or print it.

A handyman estimate template prices a list of small jobs one task at a time. Each line has the task, the quantity, the hours you expect it to take, your labor rate, the materials, and your markup on those materials. Add a trip or minimum charge and the total is ready to send the same day you walk the house. That speed matters. Handyman work is usually won by whoever answers first with a clear number.

Here is the typical call: a homeowner has eight things on a sticky note. Two locks, some drywall holes, a grab bar, a leaky caulk line, and a TV to hang. None of it is hard. The risk is pricing it in your head, forgetting the second trip for paint after the patch dries, and working a full Saturday for half a day's pay.

What a handyman estimate is for

The estimate does three jobs. It gives the customer a price per task, so they can cut items if the total is more than they expected. It tells you how many hours to block on the schedule. And it puts the scope in writing, which keeps "while you're here" requests from piling up unpaid. Anything added on site becomes a new line or a change order, not a favor.

It also keeps you inside your license. Many states let unlicensed handymen do small jobs only below a dollar limit, and electrical, plumbing, gas, and structural work are often left out of that exemption no matter the size. The rules are set state by state, so check the contractor license requirements by state before you quote anything that touches wiring, a water line, or a load-bearing wall.

How to fill in each column

  • Task: a short code (H-01, H-02) so the customer can say "skip H-04" without confusion.
  • Description: the task in plain words, with brand or model if the customer is supplying a fixture or part.
  • Qty and Unit: EA for most tasks, LF for caulk or trim, SF for patching or tile repair, HR for open-ended troubleshooting.
  • Est. hours: your realistic time for the whole quantity, including setup and cleanup for that task. Be honest about drive time to the hardware store.
  • Labor rate: your hourly rate. It has to cover your pay, payroll taxes, insurance, truck, tools, and profit, not just a wage. See how to calculate labor burden.
  • Materials: your cost for parts and supplies on that task. Enter 0.00 when the customer buys the item.
  • Markup: what you add to materials to cover buying, picking up, and returning them.
  • Line total: Est. hours times labor rate, plus materials, plus markup.

Handyman pricing tips

Hourly pricing is honest, but customers like to see a number per task. The template does both: you think in hours, the customer reads a line total. As your history builds, turn common tasks into flat prices. If hanging a TV mount takes you 1.25 hours 8 times out of 10, price it at that and stop re-estimating it.

Plan for return trips. Drywall patches need dry time before paint. Caulk needs cure time before water. Every return visit is drive time, so either price it in or batch it with another job nearby. If you work in houses built before 1978, remember that sanding or cutting painted surfaces can trigger the EPA lead-safe rules once you go past the minor repair limits, so ask the age of the house on the first call. Common handyman estimate mistakes

  1. Pricing each task in minutes of tool time and forgetting setup, cleanup, and the parts run.
  2. Not marking up materials, so you finance the customer's hardware store trip for free.
  3. No minimum charge on small lists.
  4. Quoting work that needs a licensed trade or a permit as if it were general repair.
  5. Leaving out what happens if a hidden problem turns up, like a rotted subfloor under the toilet you came to reset.

Frequently asked questions

Should handymen charge by the hour or by the job?

Many do both: estimate in hours behind the scenes and show a price per task to the customer. Flat prices work well for repeat tasks you have timed many times.

What is a fair trip charge for a handyman?

It depends on your market and drive times. Set it to cover the travel and setup time a short visit costs you, and state it on every estimate.

Does a handyman need a contractor license?

It depends on the state, the job size, and the type of work. Many states allow small jobs without a license below a set limit but require a licensed trade for electrical, plumbing, and gas work. Check your state's licensing board.

Can I open this handyman estimate template in Excel?

Yes. Download the CSV and open it in Excel or Google Sheets, then add a formula for the line total so it updates when you change hours or materials.
