RFI template

An RFI (request for information) asks the design team a specific question about the drawings or specs and records the answer. Download this RFI template as a CSV or print it.

An RFI template is a form for asking one clear question about the plans or specifications and getting a written answer back. It records who asked, what drawing or spec section it concerns, the date an answer is needed, a proposed solution, and the response. Use the free template below for every request for information so questions do not get lost in email and answers become part of the project record.

A good RFI saves a week. A bad one, "please clarify the ceiling," costs a week and then a second RFI. The difference is almost always in how specific the question is and whether the contractor offered an answer.

What the RFI form is for

RFIs cover conflicts between drawings, missing dimensions, unclear details, and field conditions that do not match the plans. The contractor sends the RFI through the channel set in the contract, usually to the architect or engineer, who returns a written response. If the answer changes scope, cost, or time, it should lead to a change order request, not just a note in the file. Every RFI also goes on the RFI log so open questions are visible at the weekly meeting.

How to fill in each field

  • RFI number: sequential for the project, never reused.
  • Date sent and response needed by: the needed-by date should tie to the schedule. Many contracts set a response period; note it if yours does.
  • Subject: a short title someone can find later, like "Beam B-4 bearing at gridline C."
  • Drawing or spec reference: sheet number, detail, and spec section. This is the field most often left blank.
  • Question: one question per RFI. State the conflict and what you need decided.
  • Proposed solution: your suggested answer. It speeds up the reply and shows you have done the homework.
  • Cost and schedule impact: yes, no, or unknown. Flagging "yes" protects your right to price it.
  • Response and responded by: the design team's answer, who gave it, and the date.

Common RFI mistakes

  1. Asking questions the documents already answer, which burns credibility with the architect.
  2. Bundling several questions into one RFI, so a partial answer leaves it half open.
  3. No needed-by date, so the RFI sits until it becomes a delay.
  4. Not flagging cost or time impact, then trying to price it months later.
  5. Acting on a verbal answer without getting it written on the RFI.

  • Sample data only. Names and drawing references are made up.
  • One question per RFI. If you have three questions, send three RFIs.
  • Set the needed-by date from the schedule, and note any response period the contract sets.
  • If the response changes cost or time, open a change order request the same day.
  • Print a single row as the RFI form, with project name, to, from, and attachments listed at the top.

Frequently asked questions

What does RFI stand for in construction?

Request for information. It is a written question to the design team or owner about the drawings, specifications, or field conditions.

Who answers an RFI?

Usually the architect or engineer of record, routed through whoever the contract names. On design-build jobs it may be the design-builder's own designers.

Is an RFI response a change order?

No. If the answer changes scope, cost, or time, the contractor should submit a change order request. The RFI alone does not change the contract.

Can I use this RFI template in Excel?

Yes. Download the CSV, open it in Excel or Google Sheets, and use one row per RFI. Print a single row as the form you send.
