Free construction management software: what you actually get

Free plans exist, but they are narrow. You usually get a capped number of users or projects and one slice of the job, such as plan viewing, time clocks, or task boards. Billing, change orders, and job costing almost always sit behind a paid tier.

Yes, you can run parts of a construction company on free software. Fieldwire's free plan covers plans and tasks for 5 users on 3 projects, Connecteam is free for up to 10 users with one time clock and one schedule, QuickBooks Online has a one-user free plan, and general tools like Trello and Zoho Projects have free tiers. What you will not find for free is one system that handles estimates, change orders, pay apps, and job costing together. Limits below were checked on each vendor's site in October 2026.

Free plan, free trial, or free version?

Vendors use the word free three different ways, and it matters.

  • Free plan: no charge for as long as you stay under the limits. Fieldwire Basic and Connecteam's Small Business Plan are examples.
  • Free version: a reduced product next to the paid one. STACK says it offers a free version of its Takeoff and Estimate software.
  • Free trial: the full paid product for a short window. Clear Estimates offers 30 days, PlanSwift 14 days with no credit card, and Raken offers a trial on request. JobTread skips trials and offers a 30-day money-back guarantee on monthly plans instead.

A trial is a test drive, not a plan. Put a real job through it, because once it ends you are either paying or exporting your data.

Free options worth a look

Fieldwire Basic

The closest thing to free construction management. The Basic plan is $0 for 5 users, 3 projects, and 100 sheets. It includes plan viewing, task management, specifications, files and photos, and checklists. That is enough for a small crew to mark up drawings and run a punch list on a few jobs. Reports and exports start at Pro ($39 per user per month, billed annually), and RFIs, submittals, change orders, and budget only arrive at Business Plus ($89).

Connecteam Small Business Plan

Connecteam lists this plan as free for life for up to 10 users. The free plan allows one time clock, one schedule, unlimited checklists, forms, and tasks, and 500MB of knowledge base storage per knowledge base. For a small trade crew, that covers clocking in, a shared schedule, and safety or inspection forms. It is a workforce app, not a project or accounting system.

QuickBooks Online Free

Intuit's pricing page lists a Free plan at $0 for one user. Project profitability tracking is listed only on Plus ($140 a month regular price) and Advanced ($340). So the free plan can keep books, but it will not tell you whether the Henderson kitchen made money. For more, see how to reconcile job costs with QuickBooks.

STACK Takeoff and Estimate free version

STACK's pricing page says a free version of Takeoff and Estimate is available, alongside paid plans listed as low as $299 per user per month. The page does not spell out the free version's limits, so open an account and check what it caps before you build your estimating process on it.

Trello Free

Trello is free for up to 10 collaborators per workspace and up to 10 boards per workspace, with unlimited storage but a 10MB limit per file. Plenty of small remodelers run a job board with one card per project. The 10MB cap bites when someone uploads a full plan set. Standard is $5 per user a month billed annually.

Zoho Projects Free

Zoho's free plan allows up to 5 users, 3 projects, and 5 GB of storage. It handles task lists and timelines. Like Trello, it knows nothing about retainage, cost codes, or pay apps.

Spreadsheets

Still the most common free construction software. A good spreadsheet job cost report or change order log costs nothing and works. The cost shows up in retyping, version confusion, and the hour every Friday someone spends making the numbers match.

What free plans leave out

Look at what is missing from that table. No free plan above handles all of these at once:

  • Estimates that turn into budgets with cost codes.
  • Signed change orders that flow into the contract value and the next invoice.
  • Progress billing, schedule of values lines, and retainage.
  • Job costing that compares budget, committed, and actual cost.
  • Subcontractor insurance certificates and lien waivers.

Stitching four free tools together can work for a two-person outfit. It gets expensive in hidden ways as you grow. Say a remodeler running eight jobs spends three hours a week moving numbers from Trello and a spreadsheet into QuickBooks. At a $45 loaded office rate, that is about $7,000 a year, before counting a missed change order.

When paying makes sense

The jump from free usually happens when one of three things breaks: you hit a project or user cap, you need billing and job costing tied together, or office time spent retyping grows past what a subscription costs. Our guide to how much construction software costs walks through the math, and best construction management software for small business compares paid options with published prices.

Smart Business Automator is a paid tool, not a free one, but it starts at $19 per user per month on the Starter plan and connects to the accounting and field tools you may already use free. Its features include project tracking, invoicing, change orders, job costing and WIP views, and AI help with paperwork. See our pricing.

Frequently asked questions

Is there truly free construction management software?

There are free plans, but they cover one slice of the work. Fieldwire Basic, for example, is free for 5 users, 3 projects, and 100 sheets as of October 2026, and covers plans and tasks but not RFIs, change orders, or budgets.

What is the best free software for a small contractor?

It depends on the gap. Field teams often start with Fieldwire Basic, crews that need a time clock look at Connecteam's free plan, and owners who need simple books start with QuickBooks Online Free. Most combine a free tool with a spreadsheet.

Does QuickBooks have a free plan for contractors?

Intuit's pricing page listed a Free plan for one user in October 2026. Project profitability tracking is listed only on the Plus and Advanced plans.

What is the catch with free construction apps?

Caps on users, projects, or file size, missing billing and job costing features, and the risk that limits change later. Check export options before you put real job data in.

Should I use a free trial or a free plan?

Use a free plan if its limits fit your company for the long run. Use a trial to test a paid tool on a real job before you commit, ideally including a change order and an invoice.
